Key Skills: Workflow and smartsheet experience

Deliver Research operations processes automation by implementing SmartSheet solution to deliver efficiencies across Research, stakeholders and external agency operations.

– Lead relationship with SmartSheet consulting team to plan, design and rollout solution across research team, external agency partners and broader stakeholders across EU and where relevant WorldWide.

– Provide ongoing direction and guidance to Smartsheet consultants on scope, deliverables, connecting with stakeholders

– Work with Research leads to connect and automate end to end research processes on key programmes from initial stakeholder briefing, study design and stimulus requirements through to end deliverables.

– Work with Campaign Operations to integrate automation for marketing lead tasks and interaction (intake, briefing, stimulus, analysis, deliverables)

– Onboard external research agencies with clear roles and integrate ongoing research operations processes to maximize efficiencies

– Ensure regular status update and reviews with research team, external agencies and management.

– Ensure training is developed and delivered to Research leads, agencies and end users and documented

– Ensure Research Smartsheet solution is documented and published on internal Research Wiki/Sharepoint.

– Document ongoing requirements for research leads, campaign operations/stakeholder, external agencies and any central requirements for ongoing maintenance.

The project has four phases outlined with SmartSheet team where they will work with this role to provide the following:

1. Plan Phase

– Conduct preparation activities for the project including conducting the internal knowledge transfer meeting with the account team, creating the project delivery workspace including baseline project delivery plan, and creating the kickoff deck.

– Conduct the kickoff meeting.

– Create the Solution build package through planning activities with Customer. Solution build package to include:

– User stories

– Future-state process map

– Solution architecture diagram

– Conduct stakeholder analysis to determine end-user populations, training needs, and key users for training. Stakeholders will include the EU Prime Video Research and Insights team.

– Deliver Smartsheet product training sessions.

– Develop and prioritize sprints to be performed during the Act Phase (outlined below).

– Obtain sign-off on completion of the Plan Phase with Customer.

Milestone: Solution design complete

2. Act Phase

– Configure the Solution.

– Configuration to include Smartsheets proprietary Smartsheet Control Center application (SCC) and Smartsheets proprietary Dynamic View Application (Dynamic View).

– Refer to Appendix A for Solution architecture diagram to be refined in the Plan Phase.

– Conduct demo and review sessions, capturing Customer feedback.

– Set up and facilitate Customer user testing period.

– Present the completed Solution to Customer.

– Obtain sign-off on completion of the Act Phase with Customer.

– Milestone: Solution configuration & testing complete

3. Optimize Phase

– Create Solution admin and end user documentation.

– Deliver Solution admin and end user training.

– Conduct the Customer Success Manager hand-off meeting.

– Transfer sheets, reports, dashboards, etc. into Customer workspace(s).

– Prepare and deliver the observation and recommendations report (O&R Report) for the close-out meeting with Customer sponsor and executive leadership.

– Obtain sign-off on completion of the Optimize Phase with Customer.

– Milestone: Solution documentation, training, and deployment complete
